What is the order process?

Follow these steps to place an order:

What are the requirements?

Here are the minimum requirements:

  1. Any one (1) Valid Government ID
  2. Certificate of Employment (COE)
  3. Recent Payslip (within the last 30 days)
  4. Active Bank Account under your name from any of our supported bank partners (required for non-salary deduction customers only)

What government IDs do you accept?

We accept any of the following government IDs:

  • SSS
  • PhilHealth
  • UMID
  • PRC
  • Driver's license
  • Voter's ID
  • Passport
  • TIN ID

What is the approval criteria?

Only orders from customers that meet the following criteria are approved:

  • Minimum requirements are complete and valid
  • Regularly employed and working for at least 6 months at current company
  • Order is within your Monthly Installment Limit
  • Able to pay via either salary deduction or auto debit arrangement

Polka.PH reserves the right to refuse service and reject the orders of any individual who:

  • Was rude or disrespectul to our employees, our company and the values we uphold
  • Was found to provide fraudulent or misrepresented information, regardless if intentional or otherwise
  • Has had a problematic credit history of past failure or intention not to pay for products or services
  • Has been determined to have exhibited signs of suspicious behavior or malicious intent

When will my order be approved?

Please give our team 1 to 2 working days (excluding weekends and holidays) to review your order before receiving an approval decision.

You may be asked for additional documents or supporting information if any of your checkout details or attachments do not meet our criteria.

When will my order be delivered?

Here are our usual delivery lead times:

  • Metro Manila, Metro Cebu โ€” 2 to 5 working days
  • Pampanga, Central Luzon โ€” 4 to 7 working days
  • Remote Provincial Destinations โ€” 1 to 3 weeks

These estimates are counting from the date of order approval, excluding weekends and holidays.

How do I change my order details?

To change or update your order's product, shipping, payment or contact information, please send an email request to with your order number and change request details using your registered Polka.PH user account's email address.

How do I cancel my order?

To cancel your order, please send an email request to with your ordre number and cancel instructions using your registered Polka.PH user account's email address.

Do you ship to the province?

It depends. Our order fulfillment team will be in touch with you in case your delivery is not possible considering the size or nature of your item and your chosen shipping destination.

Due to on-going quarantine restrictions, please expect potential delays for remote provincial orders.

Do you allow order pick-up at your store or office?

No. Polka.PH is an exclusively online e-commerce website that only delivers to your home or office.

In observance of social distancing, we currently do not allow office pick-up at this time.

Payment Terms

How do installments work?

Installments at Polka.PH are paid through either Auto Debit or Salary Deduction.

Auto Debit is only available to customers who maintain active depositor accounts with our partner banks.

Salary Deduction is only available to employees of partner companies who have salary deduction arrangements with Polka.PH.

If your company is not yet an affiliated Polka.PH salary deduction partner, you are welcome to submit a company referral and connect us with your HR department to give you and your fellow employees access to lower prices, 0% minimum down payments and longer monthly payment terms.

How does Auto Debit work?

An Auto Debit Arrangement is a service provided by banks allowing individual bank account holders to authorize Polka.PH to schedule and automatically debit funds from their bank account on the dates their installments are due.

The auto debit schedule will mirror the customer's regular payroll schedule under their current employer, based on the official payslip provided to Polka.PH.

How does Salary Deduction work?

Salary Deduction is an arrangement between Polka.PH and select partner employers where payments to Polka.PH are deducted from the employee's salary every payroll cycle until their balance is fully paid.

The exact schedule and frequency of installments will depend on the employer's particular salary deduction policy with respect to Polka.PH.

If your company is not yet an affiliated Polka.PH salary deduction partner, you are welcome to submit a company referral and connect us with your HR department to give you and your fellow employees access to lower prices, 0% minimum down payments and longer monthly payment terms.

How much is the down payment?

Auto Debit Customers:

  • 20% minimum down payment (based on SRP)

Salary Deduction Customers:

  • 0% minimum down payment (optional)

You are also welcome to choose an amount larger than the required minimum down payment before submitting your order. Doing so will lower your monthly installment plan and help reduce the total amount you need to pay overall.

How and when should I give the down payment?

Instructions for down payment will be sent to you after order approval.

Down Payment Options:

  • Bank Transfer/Deposit
  • GCash
  • Credit Card (Visa & MasterCard)
  • Cash on Delivery (only available for small items for shipping to Metro Manila and Metro Cebu)

When selecting a down payment method other than Cash on Delivery, make sure to process your down payment as soon as you are instructed to do so.

Your ordered item will only confirmed for delivery when the down payment has been made.

Delaying your down payment risks your item running out of stock or your order expiring 1 week after approval.

Please do not order if you do not have sufficient funds for your chosen down payment amount.

When is my first installment?

The first installment date depends on customer's payroll schedule, the date the item is physically delivered, and the order type (auto debit or salary deduction).

Auto Debit Customers

At Polka.PH we grant Auto Debit customers roughly one (1) month payment grace from the delivery date.

For example, if a customer with a payroll schedule of every 10th and 25th of the month purchased an item delivered in the first half of a certain calendar month (1st-15th), then the first auto debit installment will be scheduled on the customer's payroll date falling on the 1st half of the following calendar month, which would be the 10th of the following month (assuming they receive they salaries twice a month).

The remaining auto debit installments will then be scheduled to routinely run every 10th and 25th of the month until the balance is fully paid.

Salary Deduction Customers

At Polka.PH the first installment of salary deduction customers will be deducted on the first payroll disbursement date of the calendar month following the month that the order was delivered. The remaining installmetns will then be deducted from the customer's salaries every payday until the balance is fully paid.

What are your supported banks for auto debit installments?

Do you charge shipping fees?

Yes, but we give you the option to either pay for shipping together with your down payment as a lump sum or pay for shipping over installment.

Shipping fees are calculated online upon checkout based on your shipping address and the product category of your order.

Can I choose the schedule of my installments?

Since it is not possible to accurately predict how all employers will choose to reschedule payroll dates due to weekends and holidays, Polka.PH will, by default, schedule your installments plan to mirror your "normal" payroll cycle as indicated by the official payslip you provided.

By policy, we do not allow customers to change their installment schedule simply due to personal preference. If you have a valid reason for rescheduling your installment due dates, kindly email us at or send us a message.

What if a holiday or weekend will affect my payroll schedule?

If your employer is rescheduling an upcoming payroll disbursement to a later date than usual due to holidays or weekends, please inform us immediately at or send us a message so that we may reschedule your upcoming installment for you.

If your payroll will be rescheduled to an earlier date than usual, please make sure you keep your account sufficiently funded until the auto debit transaction for your installment has run successfully.

For Salary Deduction customers, please consult with your HR or payroll department regarding the effect of payday rescheduling on your deduction payments.

Do you offer longer payment terms?

For general customers using Auto Debit Arrangement (ADA), the maximum payment term is 6 months to pay.

For employees of our Polka.Partners using Salary Deduction (SD), the maximum payment term is 12 months to pay.

I cannot pay my next installment on time. What should I do?

If you are having trouble paying on time, our team is happy to listen and find solutions with you. Kindly get in touch with us immediately at or send us a message.

Do you charge any late or hidden fees?

Polka.PH has never and will never charge any late fees or penalties. We only make money by providing you great service, quality products and convenient payment options.

Please note however that consistently missing payments without any early notice, valid reason, or demonstrated intention to cooperate will negatively affect your credit record and quite likely make it difficult or impossible for you to transact with Polka.PH or other similar instutions in the future.

What is my "Monthly Installment Limit" for and how is it calculated?

Your Monthly Installment Limit determines the maximum payments you are allowed to make in any given month.

The monthly installment limit you are given varies from person to person, and depends on several factors like your personal credit profile, installment payment method (salary deduction vs. auto debit) and whether or not your employer is affiliated with us. Repeat customers from time to time also have the potential to receive an increase in their monthly limit based on their payment history with us.

Meanwhile, your Available Monthly Limit is equivalent to Monthly Installment Limit LESS On-Going Monthly Installment Plans). You can check your current available limit by following these steps:

  1. Sign up or log into your Polka.PH account
  2. Click the โ€œAccountโ€ button at the upper right of the website
  3. The amount shown beside the word โ€œAvailableโ€ is your current remaining monthly limit NET of your on-going installment plans.

First time customers will only see their monthly limit after they complete their first order submission.

How can I increase my Monthly Installment Limit?

Your monthly installment limit grows when you have an increase to your basic monthly salary.

For returning customers with a shopping history with us, all orders exceeding their monthly installment limit will be prevented from submission by our website.

For new or first-time customers, all orders submitted that exceed their monthly installment limit will be rejected.
